5. Our Lawful Bases for Using Personal Information
Depending on the circumstances, we may process personal information because:
It is necessary to take steps at your request or perform our contract with you.
For example, responding to an enquiry, assessing a proposed stay, making a booking and providing boarding services.
We need to comply with a legal or regulatory obligation.
For example, maintaining records required by our licence, accounting obligations or responding to a lawful request from an appropriate authority.
It is necessary for our legitimate interests.
For example, operating our business safely, keeping appropriate records, managing complaints, protecting dogs and people, and establishing or defending legal claims, provided those interests do not override your rights.
You have given us consent.
We use consent where appropriate, including for the public use of identifiable photographs or videos of your dog. Where we rely on consent, you can withdraw it for future use.
The ICO advises businesses to identify their lawful basis before processing personal data and explain it in the privacy notice.
6. Getting to Know Your Dog and Jotform
Our Getting to Know Your Dog form is provided using Jotform and may include Jotform Sign for electronic signatures.
Information entered into the form is processed using Jotform's systems. The signing process may also generate a signed document and an audit trail associated with the electronic signature.
Jotform states that its services process personal information and provide privacy and data-protection arrangements for UK users; its Sign product also provides audit-trail and security features.
Dogs on Holiday remains responsible for deciding what information we ask you to provide and how we use the information submitted to us.
7. Who We May Share Information With
We do not sell personal information.
Where reasonably necessary, information may be shared with:
-
veterinary professionals where your dog requires advice or treatment;
-
your nominated emergency contact;
-
service providers that help us operate our website, forms, communications or business systems, including Wix and Jotform;
-

We only share information where there is an appropriate reason to do so.
8. Photographs, Videos and Social Media
We may take photographs or short videos of dogs staying with us as part of normal care and to provide private updates to owners.
Sending you a private update does not give Dogs on Holiday permission to publish that material publicly.
We will only use identifiable photographs or videos of your dog on our website, Facebook, Instagram or other promotional channels where you have given us separate permission.
You can withdraw that permission for future use at any time by contacting us.
9. How Long We Keep Information
We will not keep personal information for longer than reasonably necessary for the purpose for which it was collected, including meeting legal, licensing, accounting, insurance and record-keeping requirements.
Different types of information may need to be kept for different periods.
Important: our precise retention periods for licensing and boarding records will be finalised after confirmation of the record-retention requirements expected by Clackmannanshire Council.
Where information is no longer required, we will delete it securely or otherwise dispose of it appropriately.
The ICO specifically expects privacy notices to explain how long personal information is kept.
10. How We Protect Information
We take reasonable steps to protect personal information against loss, misuse, unauthorised access, alteration or disclosure.
This includes limiting access to information to those who reasonably need it for the operation of Dogs on Holiday and using appropriate systems and service providers for storing and processing information.
No internet or electronic-storage system can be guaranteed to be completely secure, but we take reasonable precautions appropriate to the nature of the information we hold.
